Your Right to Erasure

Under applicable data protection law (including the UK GDPR), you have the right to request the deletion of your personal data held by StayHost AI. We take these rights seriously and are committed to processing deletion requests promptly and transparently.

What Data We Hold

Depending on how you have interacted with StayHost AI, we may hold the following data about you:

• Guest messages sent via WhatsApp or other supported channels.
• Your name and phone number as provided through the messaging platform.
• Account details if you are a registered property owner or manager.
• Property information and knowledge base content provided to configure the AI concierge.

How to Submit a Deletion Request

To request the deletion of your personal data, please send an email to us at the address below. To help us process your request efficiently, please include:

• Your full name.
• The phone number or email address associated with your data.
• A brief description of the data you would like deleted (e.g. guest messages, account data).

Deletion Timelines

We will acknowledge your request within 5 business days and aim to complete deletion within 30 days of receipt.

In complex cases, or where we need to verify your identity before acting, we may take up to 90 days. We will inform you if this is the case.

Retained Legal Records

In some circumstances we are required by law to retain certain records even after a deletion request. This may include:

• Financial and billing records, which may be retained for up to 7 years to comply with UK tax and accounting obligations.
• Records of any legal disputes, complaints or regulatory correspondence involving your account.
• Anonymised or aggregated data that cannot be used to identify you, which we may retain for service improvement purposes.

Where retention is required, we will inform you of the specific records we are unable to delete and the reason why.

Third-Party Data

If your data has been shared with or processed by a third-party provider (such as Meta/WhatsApp), you may also need to submit a separate deletion request to that provider directly. We will advise you on this as part of our response to your request.
